DEPUTY CLERK III – JOB OPENING

General Description of Position:  This is a full time, work from the office only position, as one of the essential functions of a deputy clerk is to assist judges, a variety of agencies, attorneys and walk in customers on a regular bases.  This position performs a variety of wide-ranging clerical duties within an assigned area of responsibility that relates to the processing and maintenance of records, court files and works according to set departmental procedures. Work product for this area includes attending court as support staff and taking notes relating to court proceedings.  Also, processing all documents relating to court cases accurately, loading and entering new court cases into case management systems, drafting and sending out correspondence, and answering general and case specific questions for coworkers, internal and external customers and a variety of agencies. Accountable for assisting the Clerk of the Circuit Court and Comptroller in achieving the objectives of the organization. Deputy Clerks report directly to the departmental supervisor who answers directly to the Clerk of Courts and who must follow the Clerk’s standard operating procedures and policies.

Minimum Experience, Requirements and Abilities

  • At least six months of continuous and relevant work experience that is comparable to that of a deputy clerk working in a Clerk of Courts Office. This may include, but is not limited to working in a clerk’s office, governmental entity, legal office or another very similar work environment and duties.
  • Strong Clerical Experience – 2 years minimum
  • Typing skills – Minimum 35 CWPM (Prefer at least 50 CWPM)
  • Record handling (Prefer confidential and sensitive record handling)
  • Case/Chart/File Management
  • Preparation of documents and correspondences
  • Computer literate – Skilled in Word, Excel and Outlook
  • Excellent written and oral communications in using the English language to carry out the sundry of responsibilities for this position.
  • Read, write and understand English
  • Strong attention to detail and accuracy
  • Professional and positive demeanor
  • Work under levels of high stress and pressure while producing accurate work
  • Customer Service – 1 year minimum.
  • Dealing with problematic customers in an impromptu and often emotional situations
  • Multitasking
  • Ability to always interact with the public and coworkers in a polite and professional manner
  • Sit or stand for extended periods of time, while concentrating on repetitious or complex tasks.
  • Gaze into a computer screen the majority of the work day.
  • Considerable skill, adeptness, and speed in use of fingers, hands or limbs is also required to perform the duties of this position.
  • Push and/or pull 25 pounds of weight, and be able to stretch, bend and reach on regular basis.
  • Visual perception and differentiation in order to carry out the responsibilities of this position
  • High School Diploma/or Equivalent
  • Valid Drivers’ license and have reliable transportation.
  • Pass a drug screening test and comply with the Drug Free Policy of this office.
  • Successfully pass a background investigation including criminal record, driving record, prior to employment.
